The Registration System is closed permanently.
Thank you for registrating as a Participant or Visitor of the EuroGames Utrecht.
We're looking forward to welcome you in Utrecht.

Registration ID
We don't want to lose you amongst 2500-3000 other athletes. Further more, we like to help you as much and as fast as we can, because we are pleased to have you as a participant at the EuroGames Utrecht 2005.
For this reason we give every participant a unique Registration ID. Although this may seem as a 'cold and impersonal number', we bear warm feelings towards it.
When you use the Registration System for the first time, you create your own EuroGames Utrecht Account. Your new Registration ID will be made automatically and will be send to you. Your log in name for the Registration System however will be your email address. We hope this is easier for you to remember than an ID number. When you change your email address, your inlog name will change too!
Please, only create a EuroGames Utrecht Account once! Do not make a second Account, because this will cause double registrations and bookings. If you have questions about your account, please email us at participants@eurogames.info
Where and when will you need your Registration ID?
- in all correspondence with us
- when you are the sports partner of another participant
- in all cases concerning your registrations and payments
- at the Accreditation Centre at the start of the Games
- at the start of every competition during the Games

Before you make a registration
Please, be sure about what you are going to do. Read all the information carefully and absolutely read the EuroGames Utrecht 2005 Terms & Conditions. If you don't understand something about the registration, please ask us first at participants@eurogames.info (which is the participant's helpdesk) before you make the registration.
If you participate in a team or together with a partner, please make clear agreements together first, before each of you starts registration.
It will not be possible to change your already made registration(s) yourself! You will have to ask us by email, to do it for you.
Outreach Program and Registrations
If you want to apply for the Outreach Program, please apply for the Outreach Program first, before you make any registrations.
Registrations you have made before applying for the Outreach Program and our decision on your application will not be refunded.
Participation Types & Fees
In general there are 4 types of participation, but some sports may not have all four of them.
- Visitor
- You register as a Visitor when you don't participate in any sport but want to visit the sports events. You will have access to all sports events and the Opening and Closing Ceremony.
We presume you are associated with a participating athlete or sports team and not a member of the general public. Ticket sale for the general public will only start a few months before the Games.
- Individual Participant
- You register as an Individual Participant when you don't play a team sport or you would like to play a team sport, but you don't have a team yourself (this is for example possible with Field Hockey and Volleyball).
Ballroom Dancers also register as an Individual Participant although they have a dancing partner. Both individual dancers will be matched as a couple. The same goes for in example Tennis Doubles and Badminton Doubles. You will have access to all sports events and the Opening and Closing Ceremony.
- Team Member
- You actually register as an Individual Participant but you are joining a team. You can only join a team if you have the team's password.
You will have access to all sports events and the Opening and Closing Ceremony.
- Team Captain
- You set-up/enlist a new team and automatically you are the first member of that team.
You will have access to all sports events and the Opening and Closing Ceremony.
The basic idea of all this is: every participant is registered individually, although he/she may be part of a team or sports couple.

Visitors and Participants can also make reservations for Hotels and Car-Rentals. These facilities are handled by our partners Bookings NL and Sunny Cars and are separate from the EuroGames Utrecht 2005 registrations.
Maximum Registrations
You can only register for 1 Sport.
In addition you can participate in the 5Km Run, 10Km Run, or Half Marathon for an additional fee, if you have not registered for Track and Field. You don't have to register for these runs in advance. You just have to enlist and pay at the start of the run.
Unless you have registered for Track and Field, your participation in the runs are not part of the official competition within Track and Field.
Setting up a Team
When you setup/enlist a new team, we presume you are the Team Captain and the Contact Person for that team. All correspondence and additional registrations for your team will be between you and the EuroGames Utrecht Sports Coordinator for your sport.
If you don't want to be the Contact Person of your team, please let someone else setup/enlist your team.
Joining a Team
When you want to join your team, you have to know your team's password. Your Team Captain, who has setup/enlisted your team, should provide you this password. If your team is not yet mentioned in the teams list, ask your Team Captain to setup/enlist the team first. If you setup/enlist the team yourself, you will be the Team Captain and Contact Person (and do you really wanna have that job...?).
The teams are responsible for their own maximum members capacity. We trust that Field Hockey teams, Football teams and Volleyball teams will keep in mind and will check their own number of team members.
If in the end a team turns out to have 31 members in stead of say... 14, we will not refund the surplus of 17 participants.
This maximum number of team members doesn't apply to other sports. Although participants may join a team, the competition will be on an individual basis (i.e. Swimming) or on a couple's basis (i.e. Tennis Doubles and Ballroom Dancing).
Participating together with a Partner
If you want to participate with a partner (for example at Ballroom Dancing or Tennis Doubles) you both have to register individually. In order to match the two of you together, you BOTH have to fill in the Registration ID of your partner.
Please, create your EuroGames Utrecht Account, but wait with the sports registration until you know the Registration ID of your playing partner too. The two of you have to know each other's Registration ID in advance. If you do not know the Registration ID of your playing partner, you cannot register for that sport yet.
Here is an example of the way it goes:
- Participants A and B decide to register as playing partners for (for example) Tennis Doubles.
- A and B create both their own EuroGames Utrecht Account in order to register. They get both their own Registration ID.
- A and B tell each other their Registration ID.
- Participant A now makes his/her registration for Tennis Doubles and fills out the Registration ID of B as his/her playing partner.
- Participant B now makes his/her registration for Tennis Doubles and fills out the Registration ID of A as his/her playing partner.

Registration Proceedings and Payment
The flow of registration proceedings is divided in a few simple steps:
- You indicate you are a new user of the Registration System and want to create your personal EuroGames Utrecht Account. Next you fill in a few simple details like your email address, your name, your gender and a password of your choice.
- After this pre-registration you receive by email a Registration ID and a special link to the actual registration system.
At the actual registration system you log in with your email address and your password (we think this will help you not to forget your log in), although the system knows you by Registration ID (isn't it genius...?).
- Personal Details - your customer card
In the registration system you fill in all your Personal Details. You can change your Personal Details as often as you like. Please update your Personal Details when necessary so our information will be up to date. Finish this part of the registration by clicking the confirm button. The system saves your details and resets.
- Registrations - the shopping
You now can register for sports participation, accommodations, well for anything we offer. You don't have to register everything at the same time. You can come back as often as you like to make additional registrations.
Your new registrations are shown at the 'New Registrations & Payment' page, which is your shopping basket.
Your past registrations are shown at the 'Registration History' page.
WARNING 1: You cannot change registrations you have already made in the past. Please consider this every time you make a new registration.
- Payment - the check out
When you've finished making registrations you select your payment method (bank transfer or credit card) and you will be taken to the selected payment section.
When you've finished the payment step, we show you a confirmation/invoice screen and we send you a confirmation/invoice by email. Your registration now has the status 'Pending'. When we actually have received your payment, your registration will be made 'Active', thus final. When your registration is made active/final we will send you a confirmation by email. This will be your receipt.
This payment procedure is the same for every new (set of) registration(s) you make at a time.
WARNING 2: Registrations you have made without successfully finishing this last step (the payment) will not be saved till the next time you log in. When you close the registration browser window without finishing the payment step, all registrations in your shopping basket will be lost.
Here below are the statuses every single registration you've made can have. These statuses will be shown per registration in the overview of your past registrations: the Registration History table.
- Pending
- You have made your registration and your payment, but we have not received your money yet. During this period of waiting for your payment, the registration is 'Pending'. After 30 days without receiving your payment, the pending registration will be deleted automatically and without warning. If you still want the registration you have to make it again.
- Active
- When we have received your payment of a registration, it will be set to 'Active'. This means your registration is final. You will get a confirmation of this new status which is also your receipt.
- Cancelled
- You have had a (final) registration, but you asked us to cancel it, so we did.
- Item Pending / Waiting List
- You have made a registration for an item, but we are not sure we can provide (for example accommodation in a hosted house or it's a place on a sports waiting list). This registration (which is more like a reservation) will have the status 'Item Pending' or 'Waiting List'. The item is reserved/parked for you, but you don't have to pay for it yet, until we can really give it to you. When we can give you the item, we will inform you by email, so you can go to the registration system to pay for it. When you've finished the payment step, the status of the registration will be 'Pending', like in any normal case. Without receiving your payment within 30 days, the registration will be deleted automatically and without warning.
Changing or Cancelling your registration(s)
Please, make your registrations carefully.
CHANGING
You cannot change a sports registration that you've made in the past yourself. You can only change your Personal Details (name, address, email, etc) of the registration.
If you want to change the registration of any other part (sports, housing, tickets) you have to send an email message to changes@eurogames.info containing at least your EuroGames Registration ID and the necessary information on the items you wish to change.
EuroGames Utrecht will then change the information within one week and will inform you by email. Email messages with insufficient information will not handled.
CANCELLING
You can cancel a registration but that will cost you money. We charge a Cancellation Fee per request to cancel a registration. The Cancellation Fees are:
- Cancellation till 1 January 2005: € 10,00 per cancellation request.
- Cancellation between 1 January 2005 and 1 April 2005: 50% of the registration value per cancellation request, with a minimum of € 10,00.
- Cancellation as from 1 April 2005: 100% of the registration value per cancellation request. So this means that you will get no refund after 1 April 2005!
The Cancellation Fee will be subtracted from the refund or you get an invoice to pay for the fee when the registration value is under € 10,00.
There is one exception: If cancellation of a registration is due to illness in connection with a personal handicap or with HIV, no modification fee will be charged. How painfully this may sound and even be, in those cases we do need reasonable evidence of your case.

Contact after Registration
Contact with us can be in English or in Dutch.
All sports technical issues or issues about your sports competition and your sports venue will be handled by the EuroGames Utrecht Sports Coordinator of your sport. He/She can be contacted via the email address of your sport. (for example: volleyball@eurogames.info, trackandfield@eurogames.info, ballroomdancing@eurogames.info).
Examples of issues the EuroGames Utrecht Sports Coordinator of your sport handles are:
- Our team is 2 players short, what to do?
- I can not be in time for the first game.
- We can provide referees.
- One of our team members has a wheelchair. Does the venue have special toilets?
- I'm on the waiting list for this sport. Is there a change for me to participate?
- My sports partner fell ill. Can you match me with someone else?

Before you make any registration and/or participate at the EuroGames Utrecht 2005, you do have to read all and agree to all of the EuroGames Utrecht 2005 Terms & Conditions.
By making a registration and/or participating you state:
- that you have read all of the EuroGames Utrecht 2005 Terms & Conditions;
- that you have fully understood these Terms & Conditions, although they may not be written in your native language;
- you fully agree with these Terms & Conditions and feel bound to them.
